Managing Users in Your Account

Understand the different User roles and how you would change them. And how you would invite, remove, or swap Users.

Three Different User Roles

  • LITE

    • View-only role with access to a limited number of Dashboards and free content.

    • Cannot create Dashboards/Lists, edit, download, or export.

    • Unlimited LITE Users allowed.

  • PRO

    • Paid seat; access level dependent on your subscription agreement.

    • Can create/edit Dashboards and Lists.

    • May be allowed to download/export depending on subscription.

  • ADMIN

    • All Pro permissions with full user management capabilities (i.e. invite Users, remove Users, change roles of Users).


How to Manage Users (Invite, Change Roles, Remove)

  1. Click the main menu and choose Manage Users (top-left).

Invite Users

  1. In Manage Users click the green Invite button.

  2. Enter the user’s email to send invite/password activation email

  3. Once activated, the User's role is defaulted to LITE. Admin must update/edit their role (three dots next to their Profile) to the appropriate role (i.e PRO or ADMIN) if relevant.

Change a User’s Role (upgrade/downgrade)

  1. In Manage Users find the User and edit their role (three dots next to their Profile)

  2. Select the new role. Changes take effect immediately.

    1. Note: Upgrading to Pro/Admin requires an available paid Pro seat in your subscription.

Remove Users

  1. In Manage Users locate the User, edit their role (three dots next to their Profile) to select 'Remove User'.


Important Notes

  • By default, all invited Users will be added as a LITE User. Admins will need to update the role of the User after invite has been activated.

  • The number of Pro seats are based on your subscription agreement. If no Pro seats are available, you can either:

    • Downgrade or remove an existing Pro User to make a Pro seat available

    • To add more Pro seats contact get in touch with our Customer Success team to get next steps on buying more.

  • Role changes are immediate; Users may need to refresh or log out/in to see updates.

  • Invitation emails can go to spam — ask invited Users to check spam/junk folders.

  • Ensure there is always at least one Admin on the account.


Troubleshooting

  • "I can’t see Manage Users" - this is likely because you are not an Admin. Ask an existing Admin to change your role.

  • "I have received my activation email"

    • Confirm the email address is correct

    • First check spam or junk folder

    • Ask your Admin to resend the invite from Manage Users if needed.

    • Contact your Customer Success Manager if issue persists.

  1. User Accounts Overview

With QS Holon IQ, your organization’s subscription will allow more than one login User at any one time. In most cases, there will be a cap of the amount of Users you can have. We call these individual User accounts “Seats”.

If you are unsure of how many Seats your organization holds, please speak to your account representative or find out yourself after being logged in.

2. Managing Seats

Please follow the following steps in order to locate the information about your active subscriptions and the number of seats

  1. Log into the QS Holon IQ platform.

  2. Once logged in, find your organization’s logo icon in the upper left corner on the left sidebar.

  3. Click on the logo icon; a small square pop-up will appear.

  4. In the pop-up, find your organization’s logo icon under “Account” and click again.

  5. In the next pop-up, find and click on “Manage Account.”

  6. You will be guided to the Manage Account page, where you will see your Subscriptions and Seats.

  7. Scroll down to find the Seats section and click on the Settings icon to manage as appropriate.

3. Adding New Users

To add new users to your account:

  1. Go to the Platform Users > Account page.

  2. Click Invite User to send an invitation to a new team member.

  3. Enter their email address and confirm the invite.

4. About User Roles

In the QS Holon IQ platform, each User account will have a Role, that is a Permission Role. The Roles include: Admin, Pro, and Lite.

Each role comes with a specific set of permissions and actions that they can perform

1. LITE users have a free license and limited access to the platform (e.g., public data and dashboards that were shared with them by paid users). There is no limit to the number of LITE users an admin can add to an account

2. PRO users use a paid license from your organization’s subscription. They have access to the products included in your subscription, can create dashboards and lists, and can invite more LITE users from your organization

3. ADMIN users have all the permissions of a PRO user, and in addition they can add, remove, change user type and edit the Master Peer List.

There can be as many Admins as needed (the only limit being the number of seats)

5. Managing Roles

By default, all invited users will be added as LITE users.

If you need to change the user type, click the three dots next to the user and select the new user type.

In the same list you also have the option to remove that user

Inviting New Users

To add new users to your account:

  1. Go to the Platform Users > Account page.

  2. Click Invite User to send an invitation to a new team member.

  3. Enter their email address and confirm the invite.

By default, all invited users will be added as LITE users.
LITE users have a free license and limited access to the platform (e.g., public data and features available to free users).

✅ There is no limit to the number of LITE users an admin can add to an account.

If the invited user does not receive the password reset/welcome email in your Inbox, please check the spam folder. If the activation is never received, please reach out to your account manager.

Upgrading to PRO

If a user requires access to the full capabilities of your HolonIQ subscription, including premium features and datasets:

  1. Go to the Manage Users section within the Account page.

  2. Find the user you’d like to upgrade.

  3. Change their role from LITE to PRO.

🔒 PRO users use a paid license from your organization’s subscription. Please be sure to check in with your account admin on the number of available seats in your account.

Reassigning PRO Licenses

If all your PRO licenses are currently allocated, you can either purchase additional PRO licences or free up an existing one by downgrading a PRO user to LITE. Once downgraded, the PRO licence becomes available to assign to another user
